Who looks after your information

Information collected

When you enquire, the contact form asks for your name, email address, phone number, the type and date of your event, how you heard about Bethan, and any additional information you choose to share. Email or phone enquiries may include similar details.

If you book, the information needed to arrange and deliver your photography may also include venue and schedule details, correspondence, booking and payment records, and photographs of you and your guests. Please avoid including sensitive information in an enquiry unless it is necessary to explain your requirements.

The hosting and form services may process technical information such as your IP address, browser and device details, request times and security logs to deliver the website and protect it from misuse.

How and why information is used

• Enquiries and bookings: to respond, discuss availability, prepare a quotation and provide the photography you request. The legal basis is taking steps at your request before a contract, or performing a contract.
• Running and protecting the business: to manage correspondence, organise work, maintain records and prevent spam or misuse. This is based on legitimate interests in providing a reliable, secure photography service, balanced against your rights.
• Legal requirements: to keep records or provide information where required by law.
• Optional uses requiring consent: where consent is the basis for a particular use, it will be requested separately and can be withdrawn by contacting Bethan. Withdrawal does not affect processing that was lawful beforehand.

Photographs may identify people. Please contact Bethan about the intended use of your photographs, any publication preferences or concerns about images of you or your guests. This notice does not replace any permissions or terms agreed for a booking.

The services used by this website

Information is shared with service providers as needed to operate the website and manage your enquiry or booking:

• Netlify hosts and delivers this website.
• Studio Ninja provides the embedded enquiry form and client-management service. Information entered into the form is sent directly to that service.
• The form includes Google reCAPTCHA to help prevent spam and abuse. Google's Terms of Service also apply to that service.
• Pixieset hosts the galleries opened by the “View gallery” links. Its own privacy and cookie information applies when you visit those galleries.

Business email, professional advisers and authorities may also receive information where needed to respond to you, administer a booking or meet legal obligations. Some providers process data outside the UK. Where applicable, international transfers must use appropriate safeguards, such as adequacy arrangements or approved contractual protections; contact Bethan for information about the safeguards relevant to your data.

Links to Instagram, Facebook and Google reviews open external websites, which handle information under their own policies.

Cookies and similar technologies

This website does not currently add analytics or advertising trackers of its own. The embedded Studio Ninja form and its Google reCAPTCHA protection may use cookies, local storage or similar technologies for functionality and security. Their behaviour is controlled by those services and may change.

You can manage cookies through your browser settings, although blocking them may affect the form. If you prefer not to use the embedded form, you can email Bethan directly. External galleries and social websites may set their own cookies when you open them.

How long information is kept

Information is kept only as long as needed for the purpose for which it was collected. This depends on whether an enquiry leads to a booking, the delivery and ongoing availability of photographs, legal record-keeping requirements, and any need to resolve a dispute. Records that no longer have a necessary purpose should be deleted or anonymised. Contact Bethan for the retention arrangements that apply to your enquiry, booking or photographs.

Your choices and rights

Depending on the circumstances, you can ask to access your personal information, correct it, delete it, restrict its use, object to processing based on legitimate interests, or receive certain information in a portable format. Where processing relies on consent, you can withdraw that consent. Some requests are subject to legal exceptions, including information that must be retained.

To make a request, email photos@bethankate.com. You may be asked for information to confirm your identity. You can also raise a concern with the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.

This page may be updated when the website, service providers or data-handling arrangements change. The date above identifies the latest update.
